This Privacy Policy describes how we collect, use, disclose, and protect your information when you use the Pros in Health mobile application ("App"), website (prosinhealth.com), and related services (collectively, the "Services").

Professional Profile Information: - Current role/job title - Professional credentials (e.g., CCS, RHIA, RHIT, CPC, CDIP) - Years of experience - Work setting (e.g., hospital inpatient, outpatient, remote)
CEU Tracking Data: - Credential types and issuing organizations - CEU renewal deadlines - CEU activity names, providers, dates, hours earned, and type (core/specialty) - CEU certificate uploads (stored securely)
Documents You Upload: - Resumes - Professional certificates and credential documents - Files submitted to AI Features (e.g., documents for AI-assisted resume review)
AI Conversations: - Messages you send to Pulse AI Assistant - Context information injected into AI conversations (your role, credentials, and the screen context from which you initiated the conversation)
Saved Items: - Job listings, articles, CEU opportunities, and roles you bookmark or save
Support Communications: - Messages submitted through contact forms and bug reports - Device information submitted with bug reports
2.2 Information Collected Automatically
Usage Data: - Feature usage patterns (which screens you visit, features you use) - Subscription status and usage counts (e.g., daily AI message count, job detail views) - App version, timestamps of activity
Device Information: - Device type and model - Operating system and version - Locale/language settings - Unique device identifiers (as provided by Firebase)
Analytics Data: - We use Firebase Analytics to understand how users interact with the App. This data is collected in aggregate and is used to improve the Services.
2.3 Information We Do NOT Collect
- Social Security numbers
- Financial or banking information (payments are processed entirely by Apple)
- Protected Health Information (PHI) or patient data
- Biometric data
- Precise geolocation data
- Contact lists or phone book data
- Data from other apps on your device
3. How We Use Your Information
We use your information for the following purposes:
Providing the Services: - Creating and maintaining your account - Displaying your professional profile within the App (visible only to you; see Section 3.2) - Tracking your CEU progress across credentials - Delivering personalized job recommendations based on your profile - Powering AI Features with relevant professional context - Storing your saved items and uploaded documents - Sending you CEU deadline reminders and relevant notifications
Improving the Services: - Analyzing usage patterns to improve features and user experience - Identifying and fixing bugs and performance issues - Developing new features based on aggregate usage trends
Communications: - Sending important account-related notices (security alerts, Terms updates) - Sending feature updates and announcements (you may opt out) - Responding to your support requests
Legal and Safety: - Complying with applicable laws and legal obligations - Enforcing our Terms of Service - Protecting the rights, safety, and property of our users and the public
3.2 Profile Visibility
Your professional profile information (name, role, credentials, experience) is private to you and is not displayed to or accessible by other users of the App. Profile data is used solely to personalize your experience within the Services, including providing relevant AI responses and job recommendations. We do not operate a public directory of user profiles.
4. AI Features and Data Processing
4.1 How AI Features Process Your Data
When you use Pulse AI Assistant or AI-powered features (Career Pathways, article summaries), the following data may be sent to our third-party AI service provider:
- Your messages and prompts
- Professional context from your profile (role, credentials, experience level)
- Screen context (e.g., if you navigate to AI from a specific job listing or role)
- Content of documents you upload to AI Features
4.2 Third-Party AI Provider
AI Features are powered by Anthropic's Claude API. Your AI interactions are processed through Anthropic's servers. We do not permit our AI service providers to use your inputs or conversations to train or improve their AI models, to the extent such restrictions are available under our agreements with these providers.
4.3 AI Conversation Storage
Your AI conversations (messages and responses) are stored in our database associated with your user account. This allows you to access your conversation history within the App. Conversations are stored securely using Firebase Firestore with access restricted to your authenticated user account.
4.4 AI Data Retention
AI conversations are retained as long as your account is active. You may start new conversations at any time. Upon account deletion, all AI conversation data associated with your account is deleted.
4.5 Important AI Privacy Notice
Do not submit any of the following through AI Features: - Protected Health Information (PHI) - Patient names, medical record numbers, or clinical data - Confidential employer information or trade secrets - Social Security numbers or government identification numbers - Financial account information
We are not responsible for any sensitive information you voluntarily submit through AI Features.
5. How We Share Your Information
5.1 We Do Not Sell Your Personal Information
Pros in Health LLC does not sell, rent, or trade your personal information to third parties for marketing or advertising purposes.
5.2 Third-Party Service Providers
We share information with the following categories of service providers who assist us in operating the Services:

6. Tracking and Cross-App Data Collection
6.1 We Do Not Track You Across Apps or Websites
Pros in Health does not track your activity across other companies' apps or websites. We do not participate in ad networks, cross-app tracking, or data broker arrangements. We do not use Apple's App Tracking Transparency (ATT) framework because we do not engage in tracking as defined by Apple.
6.2 Analytics Are Internal Only
The analytics data we collect (via Firebase Analytics) is used exclusively for improving the Pros in Health app and services. This data is not shared with advertisers, data brokers, or any third party for the purpose of tracking or targeting.
7. Data Storage and Security
7.1 Data Storage
Your data is stored on servers provided by Google Cloud Platform (Firebase). Data is stored and processed in the United States.
7.2 Security Measures
We implement industry-standard security measures to protect your information, including:
- Encryption of data in transit (TLS/SSL)
- Encryption of data at rest (Firebase server-side encryption)
- Firebase Authentication with secure token-based access
- Firestore Security Rules that restrict data access to authenticated users and their own data
- Secure storage of API keys and service credentials (never hardcoded in application source code)
- Password hashing (handled by Firebase Authentication; we never store plaintext passwords)
7.3 Security Limitations
While we take reasonable measures to protect your information, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security of your data. You are responsible for maintaining the security of your account credentials.

9.2 Account Deletion
You may delete your account at any time through the App settings. Account deletion will result in the permanent removal of your personal data in accordance with the retention schedule described in Section 8.

You may customize your notification preferences (job alerts, news alerts, CEU reminders) through the App settings. You may also disable push notifications through your device's operating system settings.

13.1 Mobile App
The App uses Firebase Analytics and Firebase Cloud Messaging, which may use device identifiers to provide analytics and push notification services. We do not use traditional browser cookies within the mobile App.
13.2 Website
Our website (prosinhealth.com) may use essential cookies to ensure proper functionality. We do not use advertising cookies or third-party tracking cookies on our website.
14. International Users
The Services are operated from the United States. If you access the Services from outside the United States, please be aware that your information will be transferred to, stored, and processed in the United States, where our servers and database are located. By using the Services, you consent to the transfer of your information to the United States.
